What Is an Applicant Tracking System (ATS)?

An Applicant Tracking System (ATS) is a digital tool employers use to collect, scan, and rank resumes automatically. It helps companies manage large volumes of job applications efficiently. However, if your resume isn’t formatted correctly, it may never reach a human recruiter — even if you are highly qualified.

More than 90% of mid to large-sized companies now use ATS software like Workday, Greenhouse, or Taleo. Therefore, understanding how to make your resume ATS-compatible is crucial for job seekers in 2025.

1. Choose the Right Resume Format

There are three main formats, but not all are ATS-friendly.

  • Chronological Resume: Lists experience from most recent to oldest. This is the best format for ATS.

  • Functional Resume: Focuses on skills over experience, often rejected by ATS.

  • Combination Resume: Mixes both styles but can confuse older tracking systems.

For most professionals, a chronological resume is the safest and most effective choice.

2. Keep the Design Simple

ATS software cannot read complex formatting, graphics, or decorative layouts. Use a clean, minimal design.

  • Use standard fonts such as Arial, Calibri, or Times New Roman (size 10–12).

  • Avoid tables, images, text boxes, or symbols.

  • Use black text on a white background.

  • Label sections clearly: Professional Summary, Experience, Skills, Education.

A simple design ensures your resume is properly parsed by the ATS and easy for humans to read.

3. Use Job-Specific Keywords

ATS programs scan resumes for specific keywords related to the job description. Missing them can cause your application to be filtered out.

How to optimize:

  • Review the job post and identify repeated terms (skills, tools, and job titles).

  • Add these words naturally throughout your resume.

  • Use both the full term and acronym — for example, Search Engine Optimization (SEO).

Example:
For a digital marketing position, include terms like SEO, PPC, Content Marketing, Google Analytics, and Campaign Management.

4. Structure Your Resume for Easy Scanning

Organize your content logically. ATS systems prefer consistency and clear headings.

Recommended Structure:

  1. Full Name and Contact Information

  2. Professional Summary

  3. Core Skills

  4. Work Experience

  5. Education

  6. Certifications or Achievements

5. Focus on Measurable Achievements

Recruiters and employers are most impressed by quantifiable results. Replace generic tasks with specific accomplishments.

Weak Example:

  • Responsible for managing social media accounts.

Strong Example:

  • Grew social media engagement by 120% through data-driven content strategy.

Always include numbers, percentages, or timelines when possible.

6. Save in the Right File Format

ATS systems typically read .docx or .pdf files, but some older systems may reject complex PDFs.

Best practices:

  • Save as .docx (Word) unless otherwise specified.

  • Avoid saving as an image or scanned document.

  • Name your file professionally: John-Doe-Resume-2025.docx.

7. Keep It Concise

Most recruiters spend less than ten seconds scanning each resume. Keep it short and focused.

  • One page for candidates with under 5 years of experience.

  • Two pages maximum for experienced professionals or senior roles.

  • Focus on the most recent and relevant experiences.

8. Include a Targeted Professional Summary

Your Professional Summary should capture your experience and value in two to three sentences.

Example:
Strategic SEO Specialist with six years of experience in driving website growth and improving keyword rankings for international clients. Proven ability to deliver measurable business outcomes through content and performance marketing strategies.

Avoid using generic phrases like “looking for a challenging opportunity.” Instead, highlight your expertise and achievements.

9. Include Hard and Soft Skills

ATS systems also prioritize resumes that list relevant skills.

Hard Skills: Project Management, SQL, Data Analysis, SEO, Accounting, Graphic Design.
Soft Skills: Communication, Adaptability, Leadership, Teamwork, Problem Solving.

Use a bulleted list and place this section above your work experience if it’s a technical role.

10. Test Your Resume

Before sending your application, use free ATS testing tools like Jobscan or Resume Worded to check how well your resume matches the job posting. These tools show keyword match percentages and help you refine your content before submission.

Final Tips

  • Customize your resume for every job.

  • Use clear section headings.

  • Add measurable results wherever possible.

  • Keep formatting consistent across sections.

An ATS-friendly resume is your first step toward landing an interview. When done right, it ensures your qualifications are recognized by both the system and the recruiter.
